Success Story: Overcoming Growing Pains with Odoo Manufacturing

MitWellness is a growing manufacturer of energy supplements. Established in 2022, the company grew quickly; however, that fast growth came with operational bottlenecks.

By 2024, Mitwellness had already adopted Odoo as their Enterprise Resource Planning (ERP) platform, but they were struggling to leverage its full capabilities. Their existing support channels were falling short, leaving them with powerful software but without the tailored guidance needed to implement it effectively against their unique production needs.

Recognizing the need for specialized expertise, MitWellness partnered with Blue Stingray to rescue their implementation and align Odoo with their complex manufacturing reality.

The Problem: Paper-Based Processes Causing Operational Bottlenecks

Despite having Odoo in place, MitWellness relied heavily on manual, paper-based tracking for their core manufacturing processes. This was by necessity during the early stages of their growth: Their production cycle is intricate, requiring rigorous quality checkpoints and detailed tracking of ingredients at every stage. A single product batch could take up to five days to complete, and every batch needed to be auditable.

As order volumes surged, this paper trail became a significant liability. Auditing a batch for quality assurance meant physically hunting down the relevant files.

“They were growing really fast, and they just couldn’t keep up,” explains Travis Waelbroeck, ERP Solutions Director at Blue Stingray.

MitWellness leadership knew Odoo possessed the native capabilities to handle their workflow digitally — and simplify the paper trail that was slowing down and complicating their production. However, they lacked the specific expertise to translate their physical workflows into standard Odoo manufacturing processes.

The Solution: Building an Odoo Implementation That Matched the Production Cycle

Blue Stingray initiated the project with an on-site discovery visit to observe the manufacturing floor firsthand. The goal was to grasp the nuances of the multi-day production cycles and to determine what could be streamlined.

To bridge the gap between their manual operations and Odoo’s digital capabilities, Blue Stingray utilized a two-pronged approach:

  • Visual Process Mapping: The team created detailed workflow diagrams of MitWellness’s current reality, ensuring every decision point, quality check, and material transfer was accurately accounted for.
  • Gap Analysis & Re-implementation: Blue Stingray drafted written specifications to re-implement these processes within Odoo. This involved leveraging standard Odoo Manufacturing (MRP) features that MitWellness had previously underutilized.

Blue Stingray helped them build out detailed Bills of Materials (BoMs) that define every component in a product. At the same time, they configured Work Orders to track assembly progress through each stage of their five-day cycles.

“Our goal was to replace the paperwork without losing the assurance that the paperwork was providing,” Waelbroeck says.

The Result: An Auditable Process, Without the Paperwork

After spending time observing MitWellness’s operations, Blue Stingray was able to design an Odoo implementation that matched their workflow. By migrating from paper directly to Odoo, the MitWellness team streamlined their entire production lifecycle from raw material intake to finished goods.

The most significant impact has been on traceability. The complex auditing process once required hours of searching through physical paperwork.

“Instead of having to run files around constantly and having a complex audit, Odoo basically simplified the whole process,” Waelbroeck says. “If a manufacturer discovers an issue with the batch, they know exactly when and where that was produced, where it went to, and who purchased it.”

With Odoo, MitWellness has more robust tools for quality control and regulatory compliance as they continue to scale.

“Odoo is built to simplify processes, and this was the exact type of high-workload process that benefits from optimization,” Waelbroeck says. “But in manufacturing, it’s really important to build custom functionality — or at least make a few tweaks — to make sure that the MRP is working for the business, and not the other way around.”
